Inspire Education Trust

The Brief

The Inspire Education Trust comprises of three Primary School sites in Coventry – The Clifford Bridge Academy, Walsgrave CE Academy & Whittle Academy.

All schools were using traditional hard copy paper based signing-in books – often with separate books depending on who was signing in i.e., a late child, 3rd party contractor or member of staff.

The Trust wanted to introduce a different system which would streamline existing processes and be in a digital format to capture information that could easily be accessed in the future.

Adaptive IT's Solution

After an initial demonstration to the group the agreed solution comprised of an InVentry Visitor Management Touchscreen sited in the main reception as the point of contact for visitors and staff to sign-in. This works in tandem with the thermal printer behind the main desk where the visitor credentials are printed and handed out by office staff.

Members of the main Teaching staff, regular contractors and Peripatetic teachers can all sign in and out using the screen so an accurate record is kept at all times as to who is onsite. In the event of an emergency situation you can see in an instant exactly who needs to be accounted for.

Late arrivals or children that need to leave school early through sickness or injury are signed in/out via the system and with the integration with SIMS, the updated marks are written in automatically for admin users.

The unique InVentry suite of mobile apps add further value –
Fire Evac – Use iPad or other mobile device in the event of an emergency rather than numerous hard copy books.
ClubReg – Sign in Breakfast Club children or members of after-school clubs.
Staff App – Staff can register themselves simply by logging into the app when connected to school WiFi.

The role of Visitor Management in Education is not simply to replace paper-based signing-in books. The improvements of the effectiveness of Health & Safety and Safeguarding policies are of great benefit allowing operations like Fire Evacuations to become much more cohesive. Being able to cater for pre-school and out of normal hours visitors using the mobile apps adds even more scope to this forward thinking technology.
